Position Overview    

Our Operations team supports many functions across Just IT. Primarily what they do underpins the sales compliance function, systems and processes and forms a critical part of making sure our own people can provide, and that our customers receive the best possible service. You will build strong stakeholder relationships, working closely with several departments to ensure processes are streamlined, followed, compliant and high standards of work are maintained.

Responsibilities

Role Responsibilities:

Apprenticeships:

  • Onboarding apprenticeship learners, working closely with Sales and Funding to ensure all learners and starts are compliant in a timely manner prior to enrolment
  • Inputting learner details onto the Digital Apprenticeship Service (DAS) ensuring full accuracy
  • Attend weekly DAS meetings and work closely with the Funding and Sales teams to resolve any mismatch errors
  • Attend weekly apprenticeship compliance meetings and support smooth running of placements
  • Attend ESFA webinars regarding DAS where relevant
  • Generating bi-weekly reports for expired insurances, working with the Sales team to obtain an updated copy, and updating the CRM system accordingly

Recruitment:

  • Audit recruitment permanent, fixed term and contract placements and extensions, ensuring all are compliant prior to start date and issuing client & candidate confirmations / contracts
  • Drafting and sending recruitment terms and conditions ensuring

Training, Scheduling and Administration:

  • Enrolment administration for new starters
  • Tracking attendance and producing registers on a daily and weekly basis
  • BCS & Functional Skills exam administration and proctoring including vendor qualifications
  • Communicating training schedules and reminders for bootcamp pathways
  • Communicating training registers and group profiles for scheduled training
  • Tracking attendance and escalating non-attendance
  • Exposure to exam costings, analysing data to identify successes, withdrawals etc
  • Tracking and generating data in a presentable manner
  • Providing key support on Bootcamp project processes
  • Being a key point of contact for scheduling, enrolment and training administration
  • Ad hoc training and data requests/analysis
  • Systems administration and maintenance

GDPR:

  • Monitoring and actioning the GDPR and unsubscribe inboxes appropriately

General Administration and Support:

  • Organising joining instructions and sending to delegates for commercial training courses
  • Data inputting and updating internal excel spreadsheets, ensuring full accuracy
  • Adding new clients and documents onto the CRM systems
  • Sales compliance and administration
  • Support with office management related tasks
  • Support staff engagement – monthly presentations, events, birthdays, and lunches
  • Ordering weekly & monthly prizes/incentives/vouchers
  • Provide support & cover to other Operations staff
  • Ad hoc projects and tasks as requested

Candidate Requirements  

Essential Skills:

  • Experience of working in an office environment and ideally in a similar sales support environment
  • Strong communication skills
  • Strong working knowledge of Microsoft packages, specifically Word, Excel & PowerPoint
  • Can use CRM (or similar) reporting systems effectively
  • Highly organised
  • Natural high attention to detail and ensures accuracy in delivery
  • Prioritises tasks and reliably meets deadlines
  • Has experience in supporting senior stakeholders
  • Can build rapport and manage expectations across a diverse level of stakeholders
  • Manages sensitive information with the utmost discretion

Desirable:

  • Experience in a training provider environment, ideally within a Funding or Skills Bootcamp department
